Connecting to the screens in the meeting room

You may be aware that we are having technical problems in some of the Rochester Row meeting rooms, particularly on the ground floor. We apologise if you’ve experienced any frustration or confusion because of this. The equipment suppliers are investigating, and we will update you as soon as possible.

In the meantime, if you have a meeting and would like to share/present your screen, please use the following guidance:

If you have a meeting on the ground floor

For meetings in RRG1, RRG2, RRG3 and RRG5 – The adapters originally installed in these rooms were causing problems. We have been advised that the ‘plug in and play’ option should work if we use two cables instead. See pictures of the cables and how they work below.

Plan B – If for some reason the two-cable option does not work, please add a Teams link to your calendar invite. You will then be able to join the Teams meeting via the Poly console, or via your Surface, and share your screen that way.

For meeting’s in RRG4, there is a different wiring issue so the two-cable option will not work. Please routinely add a Teams link to calendar invites for meetings in these rooms and refer to Plan B. If you are hosting a Zoom meeting in RRG5/RRG4, this will work the same way – i.e. you will be able to share your screen by joining the Zoom meeting.

If you have a meeting on the 1st or 2nd floor

The adapters originally installed in these rooms were causing problems. We have been advised that the ‘plug in and play’ option should work if we use two cables instead. See pictures of the cables and how they work below.

To note – RR110 – There is a different wiring issue so the two-cable option will not work. Please routinely add a Teams link to calendar invites for meetings in these rooms and refer to Plan B.

The two-cable option – USB cable on the left that plugs into your regular USB slot & a HDMI adapter on the right that plugs into your USB-C slot (This is the small slot that the dock at your desks plugs into). Please connect them both to the slots on your Surface.

The IT team will be doing daily meeting room checks to ensure that everything is working as expected. As part of this, we will display signs in each room about the current status of the room.
